Video tutorial - AI4CALL Assistant: Connect the Email plugin

What the AI4CALL Email plugin is and what it does

The AI4CALL Email plugin lets your AI phone assistant send emails during or after a conversation. Connecting it to a Gmail account takes three stages: buy the plugin from the Plugin Marketplace, configure the SMTP tool with your Gmail address and a Google-generated app password, then assign the plugin to the assistant from the Capabilities tab.

In this video tutorial we walk through the whole procedure step by step, from activation in the Marketplace to saving the assistant. The result is practical: from then on, during a phone call, the assistant can send an email on your behalf.

How to activate the Email plugin from the Plugin Marketplace

Start with the purchase. From the side menu, open Plugin Marketplace and scroll down to the Communication section, where you'll find the plugins that handle messages: AI Conversation, Email, SMS Sending, Voicemail, Telegram and WhatsApp.

  1. Open the Email plugin card and click Buy.
  2. The Buy plugin window shows the activation fee and the cost of the first month.
  3. Give this plugin instance a name so you can recognise it later.
  4. Confirm the purchase.

Once done, the plugin appears on the Marketplace Plugins page, in the Communication section. The name you chose for the instance helps you spot it quickly when you move on to configuration.

Configuring the Email plugin's SMTP tool with Gmail

Now open the configuration of the SMTP tool. SMTP (Simple Mail Transfer Protocol) is the standard protocol for sending outgoing mail: it is the channel the assistant uses to deliver emails. At the top you'll find the Gmail configuration toggle, which pre-fills the server parameters.

With Gmail enabled, host and port are already set: the server is Google's outgoing mail server, on the secure port. Only two details are left to enter: the email address and the dedicated password.

What a Google app password is and how to generate one

Here's an important detail. Gmail does not accept your regular account password: it requires an app password, a sixteen-character password generated by Google and dedicated to a specific application. Here's how to get one:

  1. Go to your Google Account, in the Security section.
  2. Open the App passwords page.
  3. Confirm your identity when Google asks you to.
  4. Give the application a name, for example the name of the portal, and confirm with Create.
  5. Copy the sixteen-character password generated by Google straight away.

Copy the app password straight away: Google won't show it a second time.

Entering Gmail credentials, test mode and Test connection

Go back to the plugin configuration and paste in the details: the email address and the app password you just generated. Also enter the sender name, the name recipients will see on your emails.

Before saving, you have two checks available. Test mode, when enabled, sends messages only to the test address, without reaching real recipients. Test connection verifies that the parameters are correct. When everything checks out, save the plugin configuration.

Assigning the Email plugin to your AI assistant

The plugin is now configured, but it still has to be assigned to the assistant that answers your calls. Without this step, the assistant cannot use it.

  1. Open the assistant and go to the Capabilities tab.
  2. In the Plugins purchased from the Marketplace section, find Email Service.
  3. Enable the plugin and select the send message action.
  4. Confirm your selection: the plugin now appears among the assistant's active capabilities.
  5. Save the assistant: without saving, your changes are lost.

Finally, go back to the list of assistants. From now on, during a phone call, the assistant can send an email on your behalf.

Summary: the Email plugin in 3 stages

1. Plugin Marketplace, Communication section: open Email, click Buy, name the instance and confirm. 2. SMTP tool: enable Gmail configuration, enter the address, app password and sender name, run Test connection and save. 3. Assistant, Capabilities tab: enable Email Service, select the send message action and save the assistant.
