What is the AI4CALL Voicemail plugin
The AI4CALL Voicemail plugin lets your AI voice assistant record a voice message and deliver it wherever you want: by email, by webhook or on both channels. You get the recorded audio, the text transcription or both, and you decide when the recording ends.
In this video tutorial we activate and configure the plugin in three stages: purchase from the Plugin Marketplace, setup in the Voicemail settings window and assignment to the assistant. By the end, your assistant will be able to take a voicemail message and send it to you by email or straight to your system.
How to activate the Voicemail plugin from the Marketplace
You'll find the plugin in the AI4CALL Marketplace, in the Communication section, on the Voicemail card. Activation takes five steps:
- From the side menu, open Plugin Marketplace.
- Scroll down to the Communication section and, on the Voicemail card, choose Buy.
- In the Buy plugin window, review the summary: activation cost and first month.
- Name the instance, for example Rossi Voicemail. If you leave it blank, the portal assigns a name automatically.
- Confirm the purchase.
The plugin appears on the Marketplace Plugins page, under Communication, with the name you gave it. Open its configuration from there.
Configuring AI voicemail: content, end of recording and destinations
The configuration opens the Voicemail settings window, where you decide three things: what to record, when to stop and where to send the message.
Content: recorded audio, text transcription or both
In the Content section, choose what you receive: the recorded audio, the text transcription of the message or both. The transcription is the written version of what the caller said: you can read it in seconds, without playing the audio.
End of recording: when the voice message closes
In the End of recording section, you decide what happens when the message is over. You have three options:
- Record until the call ends: recording continues until the call is closed.
- Stop after a set time: recording ends once the configured duration is reached.
- Continue the conversation with the assistant: after the message, the caller goes back to talking with the AI assistant.
Turn on the Allow continuing by pressing a key switch and callers can end the recording themselves from their phone keypad. The key can be any digit from 0 to 9, the star (*) or the hash (#).
Destinations: sending messages by email and by webhook
In the Destinations section, choose where the message is delivered: at least one destination is required. If you enable Email, select the mail configuration you've already created with the Email plugin and enter the recipients; separate multiple addresses with a comma or a semicolon.
If you enable Webhook, enter the address the message should be sent to. A webhook is an address on your system that automatically receives the data sent by the assistant, so messages flow straight into your own tools. From the Authentication menu you can attach access credentials, if your system requires them.
Manage authentications: encrypted, reusable credentials
Manage authentications opens the AI4CALL credentials vault: encrypted storage for Bearer Tokens, API Keys, Basic Auth and OAuth2. You enter them once and reuse them across multiple tools, without ever exposing them in your configurations.
Go back to the voicemail settings and save the configuration.
Assigning the Voicemail plugin to your AI assistant
Once saved, the plugin is ready, but it still needs to be assigned to the assistant. Open the assistant and go to the Capabilities tab. In the Plugins purchased from the Marketplace section, choose Assign.
In the Purchased plugins window you'll find Voicemail with the Rossi Voicemail instance: select the voicemail tool and confirm. The tool now appears among the assistant's active capabilities.
Save the assistant: if you don't, your changes are lost.
The one step you can't skip
Go back to the list of assistants. From now on, whenever it's needed, your assistant takes the voicemail message and sends it to you by email or to your system.
In short: AI4CALL voicemail in 3 stages
1. Activate: Plugin Marketplace โ Communication โ Voicemail โ Buy, then name the instance. 2. Configure: content (audio, transcription or both), end of recording, key-press closing and email and/or webhook destinations. 3. Assign: Capabilities tab โ Assign โ voicemail tool, then save the assistant.
Frequently asked questions about the Voicemail plugin
Where are AI4CALL voicemail messages delivered?
By email, by webhook or on both channels. In the Destinations section at least one of the two is required; email needs a mail configuration created with the Email plugin.
Can callers end the recording themselves?
Yes. With the Allow continuing by pressing a key switch turned on, callers end the recording from their phone keypad: with a digit from 0 to 9, the star or the hash key.
Is the plugin active on the assistant right after purchase?
No. The plugin must be assigned to the assistant from the Capabilities tab by selecting the voicemail tool. Then you need to save the assistant, otherwise your changes are lost.
